Custom business reports
Build focused reports from fire service and business records
Different operational questions need different views of the same business. Fire Track Pro's custom business report builder lets authorised office users choose a record type, select useful fields, filter the results and export a readable table. Use it to examine a specific slice of jobs, assets, defects or commercial records without manually assembling every column in a spreadsheet.
Best fit when
- Operations staff reviewing job status, upcoming work or technician task outcomes.
- Managers checking filtered asset and defect records across their service work.
- Office teams preparing invoice or customer billing lists for review.
- Users who need a repeatable report configuration in their own browser.
Choose the records that answer the question
Start with one record type per report. Available sources include jobs, job results, properties, assets, defects, quotations, sales invoices and purchasing records, subject to your access. Presets provide starting points for work order status, upcoming jobs, technician task outcomes and customer billing. A focused question makes it easier to select the right source and avoid an unnecessarily large export.
Select columns and narrow the result
Pick the fields your reviewer needs, apply field filters and choose a column to sort in ascending or descending order. For example, use sales invoice records to review customer, status, grand total and outstanding balance, or start with jobs to examine upcoming work. Date ranges and other field conditions help turn a broad record list into a useful operational view.
Export for the next step in your workflow
Export the resulting table as CSV for use in Excel, as a PDF or as a Word-compatible document. Keep the selected fields and filters relevant to the audience receiving it. The builder defaults to 500 rows and supports up to 5,000 rows per result, so narrow larger datasets by an appropriate period, status or other field before exporting.
Reuse a useful report configuration
Save a definition when its source, fields and filters answer a recurring question. Saved definitions are stored locally in the browser where you create them, so they are useful for returning to your own report setup on that browser. Records are retrieved through your signed-in account and its permissions. Agree the intended scope before using an export for a management review.
Workflow
- Define the question and choose the single record type that contains the relevant information.
- Select columns, apply filters and set the sort order for the table.
- Review the results and save the configuration in your browser if you will reuse it.
- Export the selected data to CSV, PDF or a Word-compatible document for the next review step.
Questions to ask
- Which record type contains the fields needed to answer this question?
- What period, status or customer filter will keep the output useful?
- Who needs the export, and which columns should they receive?
Frequently asked questions
Can I export a custom report to Excel?
Yes. CSV exports can be opened in Excel for further spreadsheet work. The builder also offers PDF and Word-compatible document exports.
Where are saved custom report definitions stored?
Definitions are saved in your current browser's local storage. They are available for reuse there; they are not a shared report library for other users or browsers.
How many records can a report return?
The default result limit is 500 rows, with a maximum of 5,000. Use filters to focus larger datasets on the period or records required for your review.
